Privacy Policy

Academy for Professional Studies (APS), Kannur · Effective date: 1 September 2026

1. Who we are

This Privacy Policy explains how the Academy for Professional Studies ("APS", "we", "us") collects, uses and protects your personal information when you use the APS Academy learning platform at learning.apseguru.com and the APS Academy mobile and desktop applications (together, the "Platform").

APS is a professional education institute established in 2009, with its head office at Mustafa Center Building, Second Floor, Opp. LIC Office, Talap, Kannur, Kerala 670002, India. The Platform is operated by APS; the underlying learning-management software is provided by our technology partner, Momentori Infinite Solutions LLP.

2. Information we collect

  • Account information – name, email address, mobile number, and the password you set. If your account was created by APS at enrolment, we hold the details you provided on your admission form.
  • Enrolment and academic data – the courses and batches you are enrolled in, attendance, live-class participation, quiz and mock-exam results, assignments, certificates, and learning progress.
  • Payment records – fee amounts, invoices and instalment status. We do not store card numbers or bank credentials; payments made through third-party gateways are processed by them under their own policies.
  • Device and usage data – device type and model, operating system, app version, IP address, crash logs, and how you use the Platform (pages viewed, videos watched, time spent), used to keep the service working and to improve it.
  • Communications – messages you send through in-app chat or support channels, and notifications we send you.

3. How we use your information

  • To create and manage your account and deliver the courses you are enrolled in.
  • To conduct live classes, record them for your later viewing, and show you recordings you are entitled to.
  • To track attendance, progress and results, and to issue certificates.
  • To send class reminders, schedule changes, results and important notices (email, SMS, WhatsApp or push notification).
  • To process fees and generate invoices.
  • To keep the Platform secure and prevent misuse, including unauthorised copying of course content.
  • To improve our courses and the Platform.

4. Content protection and screen-capture detection

Course videos and recordings are the intellectual property of APS and our faculty. To protect them, the Platform:

  • displays a personalised watermark (your name and student ID) over videos;
  • blocks screenshots and screen recording inside the app where the operating system permits; and
  • logs attempts to capture protected content. Repeated attempts may lead to your account being temporarily deactivated pending review by APS administration.
We do not access your camera roll, contacts, or other apps for this purpose. Detection relies only on operating-system capture events inside the APS Academy app.

5. Live classes, camera and microphone

When you join a live class, the app asks for microphone and camera permission. These are used only while you are in the class and only if you turn them on. Live classes may be recorded by APS so that enrolled students can watch them later; your voice or video may appear in that recording if you participated. Recordings are visible only to students of that batch and to APS staff.

6. Sharing of information

We do not sell your personal information. We share it only with:

  • Service providers who help us run the Platform – cloud hosting and storage, video streaming, email/SMS/WhatsApp delivery, and payment gateways – under agreements that restrict them to processing data on our instructions;
  • Examining bodies or partners (for example, exam registration support) only where you have asked us to;
  • Parents or guardians linked to a student account, where APS has enabled the parent portal;
  • Authorities where required by law.

7. Data storage and security

Your data is stored on servers located in India and with our cloud providers. We use HTTPS encryption in transit, hashed passwords, access controls and regular backups. No method of storage is completely secure, but we work to protect your information appropriately.

8. Data retention

We keep your account and academic records for as long as you are a student and thereafter as needed for academic verification, certificates, legal and accounting requirements. Usage logs are kept for a limited period for security and analytics.

9. Your rights and account deletion

  • You can view and update your profile details in the app or on the web platform.
  • You can request a copy of your data or correction of inaccurate data.
  • Account deletion: you can delete your account from within the app (Profile → Account → Delete account) or by emailing info@theaps.in from your registered email. On deletion, your login and personal profile are removed; academic records required for certificates or legal compliance may be retained in anonymised or restricted form.
  • You can opt out of promotional messages at any time; service messages about your enrolment will continue.

10. Children

The Platform is intended for students who have completed Plus Two (typically 17 years and above). Where a student is under 18, we rely on the consent of a parent or guardian given at enrolment.

11. Third-party links

The Platform may link to third-party sites (for example, examining bodies or payment gateways). Their privacy practices are their own.

12. Changes to this policy

We may update this policy from time to time. The effective date at the top shows the latest version. Material changes will be announced in the app or by email.
